Case Study: Conference Production Hilton Hotel Liverpool

HAV were delighted to be selected by Make it Britain to provide a full audio visual & staging package to meet their conference requirements for this high profile event held at Hilton Hotel.

As conference production specialists we relished the challenge of designing a high impact audio visual solution for the event which was attended by top level executives and leaders of industry.

Our services were deployed not only in the main event space, which featured a large custom conference stage set, but also accross 10 breakout rooms, an exhibition area, slide editing space & again in the main area for the evening drinks reception function & VIP dinner.

Project manager Dave Farnworth attended multiple site visits & worked closely with the events team to produce an intricate production schedule to fulfil all event criteria. A tight build time & limited access to the main event space meant 12 audio visual technicians were utilised overnight to build a 40ft conference stage set & erect equipment packages in multiple breakout rooms, ready for the early morning conference start.

Conference Stage Set Design & Construction

Our team were tasked with providing a stage set that would look professional & purposeful for a high profile event of this kind.

Event branding was key when designing a stage set to fit sponsors requirements. Multiple sponsors including Siemens & EEF would share space on the backdrop so to tie the various elements together digital printed graphics were used in the form of full colour foamex panels on the lectern & on a large custom built panel table.

In the foyer/entrance area further digitally printed panels were used in conjunction with gobos & logo projection.

Audio Visual Hire

HAV supplied a ‘one source’ complete audio visual hire solution for the event including audio, lighting, video, recording, projection, sound, camera equipment & on site technical support in each area throughout the event.

Main Room

Make it Britain were keen to use the main event space in a ‘portrait’ layout so the main plenary room featured a 40ft wide conference set with a large central integrated rear projection screen. Loss of space behind the set was minimised by using a HD projector with an ultra short throw lens. The set was washed with vivid colour using LED Pixels which allowed our designers to change the colour scheme from daytime to evening. The main screen was flanked by custom gobo’s which had been rigged on a flown truss above the stage area to project sponsor logos directly onto the stage set, further reinforcing sponsor branding.

To ensure all delegates had a perfect view of the presentation 8x satellite displays were used in the form of 75’’ HD Plasma displays to cover those delegates toward the rear of the room.

Camerawork

Our camera team were deployed to perform a live feed of all on stage activity thus enabling a seamless switch of content on screen between slides, video & live feed.

Break Out Rooms

10 Breakout rooms ran in parallel with the main sessions so a compact audio visual solution was provided in each of these areas comprising: pa system, microphones, lecterns, projector/screen, wireless slide remotes, staging & technical support in each space.

Exhibition Area

HAV provided 20x 50’’ HD Plasma Displays for each of the exhibitor stands which were used to run slideshows, graphics & promotional videos. Large poster display panels were utilised as a backdrop to each of the stands for event literature & promotional materials. High power LED uplighting was used around the perimeter of the room to create a warm glow & tieing in with the event colour scheme
